Origin E Madarsa is a madarsa management system operated by Origin Softwares ("we", "us"). It is used by madaris to manage students, teachers, attendance, fees, Quran progress and classes. This policy explains what information the system handles, why, and what choices you have. It covers both the website at originemadarsa.com and the Origin E Madarsa Android application.
1. Who the users are
Origin E Madarsa is not a consumer app. Accounts are created by a madarsa administrator, not by self sign-up. There are two distinct groups of people whose information appears in the system:
- Account holders — administrators, teachers and staff who log in.
- Students — enrolled children whose records are entered and maintained by their madarsa. Students are generally minors and do not hold accounts themselves.
Each madarsa controls its own data and decides what is recorded. We provide and operate the software on their behalf.
2. Information we handle
| Category | What it includes | Why |
|---|---|---|
| Account details | Name, email address, password (stored encrypted, never in readable form), assigned role and permissions, enrollment ID | To sign you in and show only what your role permits |
| Student records | Name, father's name, age, date of birth, class, phone number, address, joining date, attendance schedule, grade, optional photo and notes | Core madarsa record keeping, entered by the madarsa |
| Academic progress | Daily Qaida, Nazeera and Hifz tracking, Juz and page allotments, milestones, exam evaluations and results | To record and report a student's learning progress |
| Attendance | Daily present and absent marks for students and staff | Attendance registers and reports |
| Fee records | Fee plans, invoices, payments received and outstanding dues | Fee collection and receipts |
| Device token (app only) | A push notification token issued by the operating system | To deliver notifications to your device |
| Photos (app only) | An image you choose from your device's photo library | Only when you attach a student photo. We never scan or read your photo library. |
| Activity log | A record of significant actions taken in the account and when | Security and accountability within the madarsa |
3. What we do not do
- We do not sell or rent personal information to anyone.
- We do not use your data for advertising, and the app contains no ads.
- We do not track you across other apps or websites.
- We do not build advertising or marketing profiles from student data.
- We do not access your device's contacts, location, microphone or camera.
4. Permissions the Android app asks for
The app requests only what a feature actually needs, at the moment you use it.
- Photo library — asked for only when you tap to attach a photo. You may decline; every other part of the app continues to work.
- Notifications — to alert you about attendance, fees and class updates. You can turn these off at any time in your device settings.
- Internet and network access — required to reach your madarsa's data.
5. How information is stored and protected
- All traffic between your device and our servers is encrypted using HTTPS.
- Passwords are stored using a one-way hash. Nobody, including us, can read them.
- Login tokens are held in your device's secure storage, not in plain files.
- Every madarsa's data is isolated. One madarsa cannot see another's records.
- Access within a madarsa is limited by role, so staff see only what their permissions allow.
No system can promise perfect security, but we take these measures seriously and review them as the product changes.
6. Services we rely on
A small number of third-party services are involved in running the app:
- Push notification delivery — the operating system's notification service (Google) receives a device token in order to deliver messages. It does not receive your madarsa's records.
- Live classes — online classes open in Jitsi Meet. When you join a class you leave our app and Jitsi's own privacy terms apply to that session.
- Crash reporting — if enabled, technical diagnostic reports about unexpected errors help us fix bugs. These contain device and error details, not student records.
- Hosting — our servers and database, which hold the data described above.
7. Children's information
The system holds records about children because that is what a madarsa register is. Those records are entered and controlled by the madarsa, which is responsible for having the appropriate consent from parents or guardians. Children do not create accounts and are not targeted with advertising or marketing of any kind. The app is intended for use by madarsa staff, not by children directly.
8. How long information is kept
Records are kept for as long as the madarsa maintains an active account, because attendance, progress and fee history are meant to be looked back on over years. If a madarsa closes its account, its data is removed from active systems on request. Backups are cycled out in the normal course.
9. Your choices and rights
- See or correct your information — ask your madarsa administrator, who can view and edit records directly in the system.
- Delete an account or records — an administrator can remove records. For a full account deletion, write to us using the contact details below.
- Turn off notifications — in your device settings, at any time.
- Withdraw photo access — in your device settings; the rest of the app is unaffected.
If you are a parent or guardian and want to know what is held about your child, or want it corrected or removed, please speak to the madarsa first, as they control the record. You may also contact us and we will help.
10. Changes to this policy
If this policy changes we will update the date at the top of this page. Significant changes will be communicated to madarsa administrators.
